On-Campus Hiring Procedures
If a department wishes to employ a student worker, the process is initiated by completing a "Request for Quarterly Student Help" form which is available in the Student Employment office. Supervisors may also post their positions via the web on our Job Search System.
All "Quarterly Request for Student Help" forms must be signed by the dean and department supervisor prior to submission to Student Employment.
The greatest number of students will be hired fall quarter, the week prior to classes. At that time, all College Work Study students and student athletic scholarship recipients will be on campus to interview. Students should arrive for their interview with an Interview/Referral form identifying the number of hours the student may work, and whether they are classified as Work Study, student athlete, or on-campus.
If a student is hired, please indicate on the Interview/Referral form the date employment is to begin, the position title, and the hours scheduled to work. Supervisor and dean signatures are required on this form.
The student must then return the Referral form to the Student Employment office. There they will be required to complete the necessary forms, read the Student Employee Handbook, and sign the CBC Code of Responsibility and Criminal History Background check. Students may not be hired to work for or directly report to a family member or relative.
Students are not considered active employees and may not work or receive payment or salary until all forms have been received and authorized by Student Employment.
Students are hired for one quarter only (three-month period) into an eligible position. If a student is hired for an additional quarter, the proper paperwork must be completed each quarter.
All student workers are paid at the current Washington state minimum wage rate per hour.
College Work Study Students: The federal government matches 75 percent of the College Work Study student's salary and the campus (your department) pays the remaining 25 percent.
Student Athletes: A student athlete is awarded a $1,000 or $500 scholarship at the onset of the school year. This money is set aside to reimburse the student for their time worked throughout the school term. Student athletes may not work at NO COST to the departments. Student athlete hours are very limited due to their one-time award.
On-Campus Student Workers: Any student who is not eligible for College Work Study and is not receiving an athletic scholarship will be charged at 100 percent to the department for hours worked.
Hours
No student worker may work more than 19 hours per week while classes are in session and no more than 39 hours per week during school breaks. Students are hired on a quarterly basis only (three- month period). If employment continues beyond the quarter, the supervisor must complete the necessary forms in the Student Employment office prior to continuing the student's employment. (If a student graduates, he/she may not work beyond the last day of that same quarter.)
College Work Study students are limited to the number of hours per week indicated on their Referral form (see page 7 for further information). If College Work Study (CWS) students work more hours than indicated, they will expend the award money early in the quarter. This means that they will either have to discontinue working or their hours will be charged at 100 percent to the department.
NOTE: CWS STUDENTS WHO HAVE EXPENDED THEIR CWS AWARD MAY NOT CONTINUE WORKING UNLESS THE DEPARTMENT FORMALLY NOTIFIES THE STUDENT EMPLOYMENT OFFICE, BY MEMO, OF THEIR INTENT TO PAY 100 PERCENT OF THE STUDENT'S SALARY.
Student athlete hours are limited by the amount of their scholarship award. $500 scholarship recipients may only work 2.5 hours per week, and $1,000 scholarship recipients are able to work five hours per week. A supervisor may want to consider employing a student athlete for only one quarter at a greater number of hours per week.
Time Cards
Time cards must be submitted to Student Employment on the last day of each pay period as indicated in the right-hand corner of the time card. Failure to do so may result in the student not receiving their check until the next pay period.
Both the supervisor/administrator and the student employee must sign the time card.
It is the supervisor's responsibility to ensure that student time cards are complete, accurate, and submitted in a timely fashion. (Students who live on a marginal income cannot afford a delay in paychecks.)
In the case of College Work Study and Athletic Scholarship students, the supervisor also has the responsibility to monitor the student's gross income closely to ensure that the student does not exceed his/her award. {Regulatory Reference 675.19(b) vi, vii}
Student Worker Responsibilities
Be certain your student worker has sufficient work to do during his/her scheduled hours. Homework is not a suitable substitute for work, and is not allowed. If you find you do not have enough work for the student, you may want to renegotiate their hours.
